How Will Data Collection Will Affect You?

Sharron Gibson Photographer shall collect, store and process your data in such a way that it should have no negative effect.

Who is collecting the data?

The data is being collected by Sharron Gibson Photographer, 31 Heath Road, Leighton Buzzard, LU7 3AB. I use a password protected data management system to hold all data collected.

What information is being collected?

When you book a session or a wedding with Sharron Gibson Photographer I will collect the following information:-

– Names, Addresses and contact information of the person placing the order with me.

– Names, Addresses and contact information of the person using my services.

– Names, ages and gender of all participants of the session.

– Details and notes taken throughout our conversations to provide the best service for you.

Emails or messages sent to me via social media, are stored within my email system and social media accounts. The information will be stored as long as needed to provide you with the best service.

How is the Data Collected And Why?

Data is solely collected to provide you with a service you have ordered or have had ordered for yourself.

I am required by law to collect and store certain information relating to orders you place.

The majority of data is collected from you filling in my online forms, telephone conversations, emails, messages on social media or in person. Please see the providers policies:-

How Will The Data Be Used?

Data collected will be used to provide you with my services and products.

If you choose to opt in to the mailing list. Occasionally, your contact details will be used to inform you of any offers or promotions from Sharron Gibson Photographer. You can unsubscribe to this at any time by emailing [email protected]

Who Will This Data Be Shared With?

I take data protection seriously, I will never sell your data to third parties. The only times your data will be shared with other:-

Postage – There may be occasions where I will need to send you products or documentation via the post. This will require that I share your Name, Address and occasionally, telephone number with the postal service.

Manufacturers – There may be occasions where you decide to have your orders delivered to you direct from the manufacturers. In this case, your Name, Address and in some cases your mobile number and email address will be shared.

Photo Storage

It is important to me that I protect your photos from system failures as much as I can.

All Raw files are stored in the following ways:-

On an encrypted Computer (Until delivered to clients)

On two encrypted external Hard drives.

Backed up to an online cloud. Backblaze

All Jpeg Files are stored in the following ways:-

Two encrypted external Hard drives.

Uploaded to your online gallery PicTime

Backed up to two online clouds. PicTime and Imagen

These are stored for as long as our contract states. You may request to have these deleted by emailing me at [email protected]

Order Payments

Sharron Gibson Photographer uses Stripe and Paypal for all online payments.

How Long Is Data Stored For?

I am legally obliged to store some data for a minimum time, for example, all sale records and all payment records. These must be stored for a minimum of 6 years and a maximum of 10 years.

Other data will be stored for as long as our contract states. to provide the service for yourself and any other future services you may require. You may request to have these deleted by emailing me at [email protected]

If you give permission for any images to be used for marketing purposes. These could be used on Facebook, Instagram, My website, Suppliers websites, studio samples and literature.

You can opt out of this at any time by emailing [email protected]

Competition winners or model calls that choose to opt out of images being used for marketing purposes will be liable to a session fee and costs of any complimentary products received.

Access To Data

You may request a copy of all of the data I store on you at any time. If you have any further questions regarding the safe storage of your data then please feel free to contact me.

What are your rights?

If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law you can complain to the Information Commissioner’s Office (ICO).
